For covered insurance claims, we bill your carrier directly whenever possible — homeowners typically owe no out-of-pocket cost for the contents portion of the loss. Deductibles are owed to your carrier or general contractor, never to us.
After a fire, smoke event, water leak, sewage backup, storm, mold discovery, or restoration project, the single most important thing a homeowner can do before cleaning, discarding, packing, moving, or replacing belongings is document them. The contents side of the claim is usually where homeowners lose money — not because coverage is denied, but because the evidence of what was damaged, what was cleaned, what was stored, and what was thrown away never existed in the first place.
This page gives you a free printable Contents Inventory Checklist. It walks through emergency information, pre-cleaning documentation steps, a room-by-room inventory, damage type categories, high-value items, and the documents adjusters typically want to see. Use it yourself, hand it to a family member, or share it with your public adjuster, restoration contractor, or property manager.
Total Packout Solutions serves Dallas–Fort Worth homeowners, adjusters, public adjusters, restoration companies, mitigation contractors, plumbers, property managers, senior living facilities, churches, hotels, and commercial property owners. We also support larger commercial, institutional, and regional packout projects when the scope requires professional contents inventory, packout, cleaning coordination, storage, and pack-back.

Why you should document contents before anything else happens
Insurance carriers pay claims based on evidence. When contents are cleaned, moved, stored, or thrown away before they are documented, the paper trail disappears — and so does much of the leverage the homeowner had. The Texas Department of Insurance recommends that every homeowner keep a home inventory checklist, and warns that not having one can delay a claim payment.
The same logic applies mid-loss. Before your restoration team, plumber, mitigation crew, or well-meaning family member starts cleaning up, get photos, get lists, and get room-by-room notes on record. If you are unsure what to do next, call us before anything is cleaned, discarded, packed, stored, or replaced.
What the printable checklist covers
The downloadable PDF is organized into the sections a homeowner and an adjuster typically need in the first 24–72 hours of a claim:
- Emergency information: date of loss, address, loss type, carrier, claim number, adjuster contact, restoration contractor, plumber or mitigation company, rooms affected
- Before-you-clean-or-throw-anything-away checklist
- Room-by-room inventory grid (item, quantity, brand/model/serial, condition before loss, damage type, photo, cleanable, non-salvageable, replacement needed, notes)
- Damage type checklist: smoke odor, soot, ash, water contact, sewage contact, mold concern, rust, warping, swelling, staining, broken, odor, contamination, unknown
- High-value items: artwork, rugs, antiques, jewelry, watches, electronics, designer furniture, luxury clothing, handbags, shoes, musical instruments, tools, medical equipment, business equipment, collectibles
- Documents to save: photos and videos, receipts, online order history, credit card statements, appraisals, manuals, serial numbers, prior home photos, fire report, plumber report, mitigation report, smoke testing report, contractor estimate, insurance emails
Before you clean or throw anything away
This is the section homeowners skip most often, and the one that costs them the most.
- Take overview photos of every affected room before touching anything
- Take close-up photos of every damaged item
- Save HVAC filters if smoke is involved
- Save plumber reports if water or sewage is involved
- Save mitigation reports
- Save receipts, invoices, and estimates
- Do not throw away items before documenting them unless there is an immediate safety issue
- Ask your adjuster what proof is needed before disposal
Room-by-room approach
Work through affected areas one room at a time — kitchen, living room, dining room, primary bedroom, other bedrooms, bathrooms, closets, laundry room, garage, attic, storage rooms, office, and any commercial areas if applicable. For each item, note the description, quantity, brand or model, condition before the loss, the type of damage, whether a photo was taken, whether the item is cleanable, whether it is non-salvageable, whether replacement is needed, and any special notes.
The room-by-room grid is included in the PDF and can be printed as many times as you need.
Commercial, institutional, and regional projects
The same checklist works for commercial and institutional losses — memory care facilities, nursing homes, assisted living, retirement communities, churches, hotels, offices, medical facilities, multi-family properties, schools, retail spaces, and property management portfolios. For larger commercial or out-of-area projects, we scale the inventory and packout process to the size of the loss and the timeline of the claim.
When to call Total Packout Solutions
Call Total Packout Solutions before damaged contents are cleaned, discarded, packed, stored, or replaced. We help with contents inventory, photo documentation, damaged contents lists, packout, cleaning coordination, climate-controlled storage, non-salvageable item documentation, and pack-back after fire, smoke, water, sewage, storm, mold, and restoration losses.
The checklist gets you organized. We handle the parts that require a professional inventory, insurance-ready documentation, packing, transportation, storage, cleaning coordination, and pack-back once repairs are complete.
Important note
This checklist is not legal or insurance advice. Coverage decisions are made by your insurance carrier and adjuster. This checklist is designed to help homeowners organize documentation before the contents side of the claim becomes confusing.
Common Questions
Contents Inventory & Documentation — Dallas–Fort Worth FAQ
Is the contents inventory checklist really free?
Yes. Download the PDF, print it, share it with your adjuster or restoration team. There is no cost and no sign-up required.
Should I start documenting even before I call insurance?
Yes — as long as you are safe. Photos, videos, and a written list of damaged items can be taken immediately. Do not delay required claim notice, but do not wait to document either.
Can I throw away items that are obviously destroyed?
Do not throw away items before documenting them unless there is an immediate safety issue. Take photos, add them to the checklist, and ask the adjuster what proof is needed before disposal.
What if I have already started cleaning?
Start documenting now anyway. Photograph everything that is still in place, note what was already cleaned or discarded, and save any receipts, filters, or mitigation reports. Partial documentation is better than none.
Do I need to list every single item?
For a small loss, focus on damaged items. For a large loss, a full room-by-room inventory of contents in affected areas is standard. High-value items should always be listed individually with brand, model, and serial number when possible.
Should smoke-affected items be documented even if they look clean?
Yes. Smoke residue, soot, and odor can affect items that appear undamaged. Document them, then let a professional evaluate whether they need cleaning, testing, or replacement.
Does this checklist replace a professional contents inventory?
No. For fire, smoke, sewage, mold, and large water losses, a professional inventory with photos, categorization, packout tracking, and non-salvageable documentation is typically expected. This checklist helps organize documentation before the professional inventory begins.
Can adjusters and public adjusters share this checklist with clients?
Yes. Adjusters, public adjusters, restoration companies, plumbers, mitigation contractors, and property managers are welcome to share the PDF with homeowners.
Will Total Packout Solutions do the inventory for me?
Yes. We provide professional contents inventory, photo documentation, damaged contents lists, packout, cleaning coordination, climate-controlled storage, non-salvageable item documentation, and pack-back.
Do you handle commercial, senior living, church, or hotel projects?
Yes. We support commercial, institutional, senior living, church, hospitality, and regional packout projects in addition to residential losses.
